Schools with Boards of Management made up of four members (as per Section 3.2 of the Governance Manual for Primary Schools 2019-2023) should contact the office directly in order to complete their return. 

Privacy Notice to Board Members

1.   Introduction

By becoming a Board member of a Board of Management of a primary school in the Diocese of Limerick, Killaloe and Kerry and the Archdiocese of Cashel & Emly, you acknowledge that your personal data (including special category personal data) shall be processed by St. Senan’s Education Office (“SSEO”) on behalf of the Patron.

This Privacy Notice gives you some helpful information about the personal data which SSEO collects about you, why we collect that data, who we share it with and why, how long we keep it and your rights.

2.   Who we are

St. Senan’s Education Office is the education secretariat for Catholic primary schools in the Dioceses of Limerick, Killaloe and Kerry and the Archdiocese of Cashel & Emly,

3.           The information we collect about you

          The personal data we collect about you can include:

(i)            contact details including name, address, telephone number and email address,

(ii)           records of appointment details of positions held and time served as a BOM member

(iii)          Minutes of Board of Management meetings,

(iv)          correspondence to/from the Board of Management,

(v)           correspondence to/from third parties relating to Board of Management business, all of which may include references to individual Board of Management members; and

(vi)          training records. 

4.              How we use your information and the legal basis

This data is held by St. Senan’s Education Office in connection with the discharge of the Patron’s functions under relevant legislation include but not limited to the Education Act, 1998, Department of Education and Skills Circulars, the Governance Manual for Primary Schools issued by the Department of Education and Skills every four years and by other applicable laws.

5.        How long we hold your data 

Some personal data is only kept for a short period (e.g. We will destroy at the end of an academic year because it is no longer needed). Some data we retain for a longer period (e.g. retained for the period of membership of a Board of Management.  We keep the name and contact details of Board of Management members indefinitely for safeguarding and archiving purposes.

6.        You have the following statutory rights that can be exercised at any time:  

(a)       Right to complain to supervisory authority.

(b)       Right of access.

(c)       Right to rectification.

(d)       Right to be forgotten.

(e)       Right to restrict processing.

(f)        Right to data portability.

(g)       Right to object and automated decision making/profiling.

8.        Who we share your information with

We may share your personal data with the Department of Education and Skills, as required.  As your data is held by this office on behalf of the Patron, we may also from time to time share your personal data with the Patron as required.

Catholic schools in the Dioceses of Limerick, Killaloe, and Kerry and the Archdiocese of Cashel & Emly are required to be members of Catholic Primary Schools’ Management Association (CPSMA). We may share the name, email address and contact phone number of both the chairperson and the principal with CPSMA solely in order to facilitate the communication of relevant management advice and information with regard to the administration and governance of primary education.
